Setting Up Secure Messaging
The following instructions describe the Secure Messaging Mailbox Setup process for new users. To use Online Consultations™, you must first set up your Secure Messaging mailboxes. If you have already set up Secure Messaging and wish to now set up Online Consultations, see Setting Up Online Consultations™ for instructions.

If you are a member of a group site, you will need to access
Secure Messaging features from your subsite
Practice View menu.
Web Site: Your Name, located at the top of the
Practice View menu, indicates whether you are working on your site or the group site, as shown below:

To switch from the group Practice View menu to your subsite Practice View menu, click Switch Sites, and then click your name.
To begin Secure Messaging mailbox setup:
- Go to www.medem.com
- Click Physician Login
- Log in with your User ID and password
- Click Mailbox Setup, which is located under Secure Messaging/Online Consultations™ on the Practice View menu
If Mailbox Setup is not available, and you are a member of a group site, you may be on the group Practice View level check Web Site: Name of Site to verify.
If you have not yet accepted a Secure Messaging Terms of Service, you will now need to accept these Terms of Service to continue.

To set up the mailbox and access permissions:

First-time users enter Secure Messaging at the Mailbox Setup page. (You may change these settings at any time by clicking Mailbox Setup.) To set up your mailbox, you'll need to set the patient approval process, the default message types accepted, and the mailbox access levels for other members of your practice, if applicable.
- Patient Approval Process Set the boundaries for patient registration
- Any patient may send a message Anyone who registers on your Home page can use Secure Messaging
- Approve each patient for messaging When someone registers, the system sends you a Registration Request, which you can accept or reject
- No messages from any patient (inactive) Anyone can register, but no one can use Secure Messaging. Inactive Registration Requests will accumulate in your Inbox
- Default Message Types Select the message types you will accept from patients
These settings will be the default for each Registration Request. You can change these settings for individual patients when approving the Registration Request or later in the Address Book. Users who select Online Consultations will continue to the Online Consultation Setup page after completing the Mailbox Setup.
- Message Access Levels Select the access level for each practice member

Mailbox access setup is only necessary if more than one user is associated with the site, i.e., you are in a group practice and/or there are practice staff that log in to Practice View on your behalf.
- Full gives the practice member read/reply/delete, Mailbox Setup, and Online Consultation Setup privileges
- None denies the practice member any access to your Mailbox
- Partial allows you to specify different access levels for each message type:
- Select and then click Partial, as shown above, to access the Mailbox Access page
- Select the access level for each message type:

In this case, Full Access does not include Mailbox Setup or Online Consultation Setup privileges.
- Click Save Changes
You will be returned to the Mailbox Setup page.
- E-mail Notification Text Customize the automated "message waiting" alert sent to a patient's contact e-mail address when you send a message
- Click Save Changes

To set up Online Consultations:
Users who selected Online Consultations as a default message type will continue to the Online Consultation Setup page after completing the Mailbox Setup.
- Set Patient Charge per Online Consultation Select the standard amount a patient will be charged for an Online Consultation
You may set the Patient Charge, above, to $0 to provide Online Consultations to your patients without reimbursement.
If you choose to decline an individual Online Consultation request, your patient will not be charged. Please see Declining an Online Consultation Request for more information.
- Provide Your Payment Address Enter the address to which you wish to have Medem forward your Online Consultation reimbursement checks
In addition to your address, we require the following fields to correctly address your check:
- Name on Check Provide the name of the person or organization to whom you would like the check to be payable, e.g., you, your medical group, your department
- Check Destination Provide the name of the person or organization to whom you would like the check to be sent, i.e., the name on the envelope
- Enter Patient Message Instructions Enter any questions you routinely ask to help your diagnosis or evaluation, e.g., date of last menstrual period, presence and duration of fever, current known allergies. On the Online Consultation request page, the patient will be asked to provide information regarding new medications and new medical conditions. The text you provide will be displayed in addition to these standard questions
- Set Patient Expectations for Message Response Enter the following information to set reasonable expectations for response turn-around time
- Your response time Enter the number of business days it will usually take you to respond to an Online Consultation request this will be displayed to your patients!
- Patient response time Enter the number of days in which you expect the patient to read your approved Online Consultation response. If the patient does not open the response within the number of days indicated, you will be sent an e-mail to inform you that the message is unread
- Verify Terms of Service Check the Terms of Service checkbox to confirm that you have read and understood the Secure Messaging Terms of Service provided
- Click Save Changes
